For example, replace an emailed job request with a form that captures required measurements and attachments, then configure a connection to create or update the appropriate customer record.

Consider a service business handling an enquiry, winning the work, getting paid, and supporting the customer. Each step has a clear home.
- 01 / ENQUIRY
Capture the request
Forms or SalesIQ collects the customer’s needs. Configure the CRM connection, consent fields, ownership, and duplicate rules.
- 02 / CRM
Qualify the opportunity
CRM gives sales a deal, next action, and shared history. Set up pipeline stages and the handoff to whoever prepares pricing.
- 03 / QUOTE
Price the work
Use a CRM quote or a Books estimate, choosing one source of truth. Configure item, tax, and customer mappings; complex pricing may need custom development.
- 04 / INVOICE
Bill with confidence
Books turns an accepted estimate into an invoice. Configure the CRM–Finance integration, payment terms, approvals, and any automation that creates transactions.
- 05 / SUPPORT
Keep the context
Desk manages follow-up questions. Enable its CRM integration, map customer records, and define ticket routing so support can see the right information.
- 06 / REPORTING
See the whole picture
Analytics combines selected sales, finance, and support data. Set up connectors, refresh schedules, record relationships, and access to dashboards.
A subscription gives you the tools. Configuration makes them a working system. Native integrations still need decisions about ownership, permissions, field mapping, and timing. Unusual handoffs may require Flow, custom functions, or API work.
Start with the process.
Roll out what matters.
You do not need to turn on every app. ZoGenie helps you choose a practical starting point and build a system your team can maintain.
Map the work
Identify the slow handoffs, repeated data entry, and reporting gaps. Agree on the outcome, the owner, and what success looks like.
Build the foundation
Choose the apps, check licensing, clean the data, and configure roles. Test one complete workflow before moving more of the business across.
Improve with your team
Train people around their actual tasks. Review what gets used, fix friction, and add useful automation when the underlying process is ready.
Before you choose Zoho One.
What is the difference between Zoho One and Zoho CRM?
CRM focuses on customer relationships and sales. Zoho One is a broader subscription that includes CRM alongside apps for other departments. Compare the processes you need to support, the users who need access, and the included features before choosing between them.
Is “Zoho 1” the same as Zoho One?
People often use the numeral when searching, but the product’s official name is Zoho One. This guide covers that business software suite.
Does Zoho One include every Zoho app and every feature?
No. Inclusion, feature allowances, and add-ons need checking against the current plan details. A product’s standalone feature list is not a promise that every feature is included in the suite.
How does Zoho One licensing work?
Zoho offers All-Employee and Flexible User licensing. All-Employee pricing requires licensing all employees under its terms; Flexible User pricing lets you license selected employees. Compare your actual team and app needs against Zoho’s current licensing FAQ rather than comparing headline prices alone.
Are the apps available in Canada and every other region?
Availability can depend on country and data centre. Check the notes in the explorer and the official application FAQ before selecting your apps. Finance and payroll also need the appropriate local setup.
Will all the apps connect automatically?
Some connections are native, but your business still needs a defined process. App activation, field mapping, permissions, sync rules, and testing determine what moves between systems. We start with one complete workflow and make sure it works before expanding it.
Let’s find your starting point.
Bring your current process, your biggest bottleneck, or your list of disconnected tools. We’ll talk through where Zoho One could help.
